Purpose of progress reviews and how to run them

Progress reviews are used to:

  • Drive improvement pace by reviewing progress on a regular basis (ideally a weekly cadence) and ensure the improvement effort meets targets (or understand accept deviations from target)
  • Provide direction to the improvement team when needed e.g., agree on team priorities
  • Resolve team escalations and roadblocks

The 5Ps for improvement progress reviews can be summarized as:

Purpose:

  • Understand initiative progress and problem solve roadblocks/issues
  • Maintain pace/focus on improvement

Participants:

  • Line leader (chairs review)
  • Initiative owners including leader’s direct reports
  • Support (as needed)

Preparation:

  • Ensure actions and gantt’s updated
  • Update impact and process metrics

Process:

  • Review overall impact KPI(s)
  • Review progress of each initiative and problem solve as needed (by exception/priority)
  • Review idea’s parking lot
  • Review/agree actions on action board

Pay-off:

  • Common understanding of progress issues/delays and agreed actions to address
  • Improvement progress maintained/accelerated
